Youth Job Board Canada ("we", "us", "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you use our platform. By using Youth Job Board Canada, you consent to the practices described in this policy.
1. Information We Collect
We collect information you provide directly when you create an account, post or apply to jobs, upload documents, make a purchase, or contact us. Depending on how you use the Platform, this may include your name, email address, telephone number, organization or company name, job-posting and application content (including any materials you choose to upload, such as a resume), and billing details. We also collect certain information automatically when you use the Platform, such as your IP address, device and browser information, referring pages, pages viewed, and timestamps. We collect only the information reasonably necessary for the purposes described in this Policy.
2. How We Use Your Information
We use your information to provide, maintain, secure, and improve the Platform; create and administer accounts; display job postings and facilitate applications between Employers and Job Seekers; process transactions and send related confirmations and notices; respond to your requests and provide support; detect, prevent, and address fraud, abuse, and security issues; understand and improve how the Platform is used; and comply with our legal, regulatory, and contractual obligations. We rely on your consent and other lawful bases permitted under applicable privacy laws, and we obtain express consent where required (including for sensitive information).
3. How We Share Information
We do not sell your personal information. We share information only as needed to operate the Platform and as described here: (a) with service providers that help us deliver the Platform, in categories such as payment processing, cloud hosting and data storage, email delivery, security, and analytics, each of which is permitted to use the information only to perform services for us under contractual confidentiality and data-protection obligations; (b) with Employers, limited to the application information a Job Seeker submits in response to a posting; (c) with authorities, regulators, or other parties where we believe in good faith that disclosure is required by law or necessary to protect our rights, users, or the public; and (d) in connection with a corporate transaction such as a merger, financing, acquisition, or sale of assets, subject to confidentiality protections. 4. Data Storage and Security
Your information is stored on secure servers located in Canada. We maintain administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit and at rest, access controls, and periodic security reviews. Payment card details are handled by our third-party payment processor and are not stored on our own servers. No method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security; you are responsible for keeping your login credentials confidential.
5. Cookies and Similar Technologies
We use a limited set of cookies and similar technologies to keep you signed in, remember your preferences (such as your language), and understand how the Platform is used in an aggregated way. Essential cookies are required for the Platform to function and cannot be disabled. You can control cookies through your browser settings; disabling certain cookies may affect functionality. 6. Your Privacy Rights
Subject to applicable law, you may have the right to access the personal information we hold about you; to correct information that is inaccurate or incomplete; to request deletion of your personal information; to withdraw your consent to our processing; to receive a copy of certain information in a portable format; and to object to or restrict certain processing. There is generally no fee to exercise these rights. We may need to verify your identity before responding. To make a request, contact our Privacy Officer using the details in the "Privacy Officer and Contact" section. We will respond within the time required by applicable law (generally within 30 days).
7. Data Retention
We retain your personal information for as long as your account is active and thereafter only for as long as reasonably necessary for the purposes described in this Policy — including to provide the Platform, meet our legal, accounting, tax, and record-keeping obligations, resolve disputes, and enforce our agreements — after which it is deleted or anonymized. We may retain anonymized or aggregated information, which does not identify you, for longer periods.
8. Minors' Privacy
The Platform is intended for users who are at least 15 years of age for Job Seekers, consistent with Canadian youth employment standards, and at least 18 years of age for Employers. We do not knowingly collect personal information from children under 15. If you are a minor, you should review this Policy with, and obtain the permission of, a parent or legal guardian before using the Platform or submitting personal information. A parent or guardian may contact our Privacy Officer to access, correct, or request deletion of a minor's information. If we become aware that we have collected personal information from a child under 15 without appropriate consent, we will delete it promptly.
9. Information Shared With Employers
When you apply to a job or otherwise submit information in response to a posting, that information is provided to the relevant Employer. Each Employer is independently responsible for its own use of the information it receives and for complying with applicable laws in handling it. We are not responsible for the privacy practices of Employers or other users. We encourage you to share only the information you are comfortable providing to a prospective employer.
10. Marketing Communications
We may send you service-related communications necessary to operate your account and the Platform (such as transaction confirmations and security or billing notices); these are not promotional and you cannot opt out of them while you hold an account. Where permitted by law and with any required consent, we may also send optional promotional communications. Every promotional message includes a way to unsubscribe, and you can opt out at any time without affecting service communications.
11. Third-Party Links
The Platform may contain links to third-party websites and services that we do not control, including Employer websites and external application links. We are not responsible for the privacy practices or content of those third parties, and this Policy does not apply to them. We encourage you to review the privacy policies of any third-party services you access.
12. Storage and Processing Locations
Your information is primarily stored and processed in Canada. Some of our service providers may store or process information in other jurisdictions, including the United States, in which case the information may be subject to the laws of those jurisdictions. Where information is handled outside your province or outside Canada, we take steps to ensure it is protected through contractual and other safeguards consistent with applicable privacy laws. By using the Platform, you consent to this handling of your information.
13. Automated Processing
We do not make decisions that produce legal or similarly significant effects about you based solely on automated processing without appropriate safeguards. We may use automated tools to help operate the Platform — for example, to help protect against fraud and abuse, maintain security, and organize and display content. If you have questions about automated processing of your information, you may contact our Privacy Officer.
14. Data Incidents
We maintain measures designed to prevent unauthorized access to or loss of personal information. In the event of a confidentiality incident involving personal information that presents a risk of harm as determined under applicable law, we will take reasonable steps to contain and assess the incident and will notify the appropriate regulatory authorities and affected individuals as and where required by law.
15. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated Policy on the Platform and update the "Last updated" date, and we will provide additional notice of material changes where required by law. Your continued use of the Platform after an update takes effect indicates your acceptance of the revised Policy to the extent permitted by law.
