Terms of Employment: Permanent, Full-time (30 to 40 hours per week)
Wage: $24.50 per hour

Coordinate the flow of information within the team: Coordinate daily administrative communication and ensure smooth information flow among front desk, housekeeping, maintenance, and management.
Open and distribute mail and other materials: Open and distribute incoming regular mail, billing statements, courier parcels, and other office materials.
Determine and establish office procedures and routines: Determine, establish, and maintain standardized daily back-office clerical procedures and administrative routines.
Schedule and confirm appointments: Schedule and confirm appointments with vendors, maintenance contractors, inspectors, and business contacts.
Answer telephone and relay telephone calls and messages: Answer incoming office telephone lines, handle routine administrative inquiries, and relay telephone calls and messages to management.
Answer electronic enquiries: Monitor the office email inbox and respond promptly to electronic enquiries from corporate clients, vendors, and general contacts.
Compile data, statistics and other information: Compile, verify, and summarize operational data, occupancy statistics, and daily hotel summary reports for management review.
Order office supplies and maintain inventory: Track office supply levels, order office supplies, and maintain accurate inventory records.
Greet office visitors, vendors, and contractors, ascertain the nature of business, and direct them to appropriate contacts or service areas.
Set up and maintain manual and computerized information filing systems: Set up and maintain manual and computerized information filing systems for invoices, contracts, and administrative records.
Type and proofread correspondence, forms and other documents: Draft, type, and proofread routine business correspondence, internal forms, and other administrative documents.
Perform data entry: Perform accurate data entry of daily operational logs, invoices, and administrative records into computer systems.
Maintain and manage digital database: Maintain, update, and manage digital databases containing vendor records, corporate billing accounts, and office logs.
Perform basic bookkeeping tasks: Perform basic bookkeeping tasks, including reviewing and balancing daily transactions pertaining to cash, cheques, direct bill/receivable accounts, and accounts payable invoices, as well as reconciling routine billing discrepancies.
Experience and Specialization:
Education: Secondary (high) school graduation certificate
Experience: 2 year to less than 3 years of experience in administrative or clerical work
Computer and technology knowledge: MS Excel, MS Outlook, MS Windows, MS Word
